Job description

Purpose of Role

To ensure the timely, cost-effective, and efficient procurement of indirect materials and services required for operations, while maintaining quality standards, supplier performance, and compliance with company policies, thereby supporting uninterrupted production and overall operational efficiency
 

 

Responsibilities    
1.    Identify, evaluate, and onboard suppliers for indirect materials and services (e.g., MRO items, office supplies, maintenance services).
2.    Conduct market research and benchmarking to ensure competitive pricing, quality, and service levels.
3.    Negotiate contracts, pricing, and terms to achieve cost savings and value optimization.
4.    Raise and process purchase orders in line with company procurement policies and budgets.
5.    Monitor open orders, follow up with suppliers, and resolve delivery delays or discrepancies.
6.    Coordinate with internal stakeholders (production, engineering, HR, admin) to understand procurement needs.
7.    Develop and maintain strong relationships with approved vendors and internal stakeholders.
8.    Track supplier performance (quality, delivery timelines, responsiveness) and escalate issues where necessary.
9.    Collaborate with stores/warehouse teams to monitor stock levels of indirect materials and trigger replenishment.
10.    Ensure timely availability of critical supplies to avoid operational disruptions.
11.    Ensure procured items meet required specifications and quality standards.
12.    Report defective or non-conforming items and coordinate returns/replacements.
13.    Ensure all procurement activities comply with company policies, audit requirements, and regulatory standards.
14.    Maintain accurate records of purchases, contracts, invoices, and supplier documentation.
15.    Use ERP/procurement systems for transaction processing and reporting.
16.    Prepare periodic reports on spend, cost savings, and procurement performance.
17.    Take responsibility for the safety and wellbeing of yourself and others including your own fitness for work.

Requirements

Qualifications

Education and Work Experience:

  •  Bachelor’s degree in Procurement, Business Admin, Logistics, or a related field.
  • 3 years’ experience in a similar role.
  • Experience in FMCG/ manufacturing
  • Experience in ERP systems (SAP)
  • Experience in Vendor sourcing and negotiation, Purchase Order processing and Inventory coordination.

Preferred skills:

1. Technical Skills

  • Strong negotiation and cost management skills
  • Knowledge of procurement processes, policies, and contract management
  • Understanding of indirect procurement categories (MRO, services, utilities, admin supplies)
  • Analyse supplier quotations and cost structures
  • Proficiency in:
    • Microsoft Office (Excel – intermediate to advanced)
    • ERP/procurement systems

2. Behavioural Competencies

  • Strong attention to detail
  • High level of integrity and accountability
  • Good time management and ability to meet deadlines
  • Ability to work under pressure in a fast-paced FMCG environment

3. Communication & Interpersonal Skills

  • Strong negotiation and influencing skills
